Orvis sent out an email to all on the list.  If you are not, here is letter forwarded on.

WHAT WE LEARNED at FRIENDS of FAIRE
We learned that our ID printer is slower than we thought.  We would like to extend our apologies to all who had to endure the line yesterday and our thanks for your patience and forbearance. You did us a great service.

HERE IS THE NEW PROCEDURE FOR FRIEND OF THE FAIRE AND SEASON TICKET HOLDERS.

BEST METHOD
Send us your pictures in advance.  We have previously asked, exhorted and implored you - send in your pictures! As long as we receive your picture before noon on the Friday prior to your first visit to the festival, we can have your photo ID ready for pick up at the Front Gate Souvenir Kiosk. Friends of the Faire will also receive their pin and complimentary tickets at that time.

SECOND BEST METHOD
Bring your E-ticket to the exit gate.  It will be scanned and returned to you. You will also be given a paper ticket to use to have your ID made and your pin and complimentary tickets (if applicable). You may have your picture taken at Shoppe #1 (right around the corner from souvenirs) between 10am and 6pm during that visit or any future visits. Be aware that if you continue to use the paper ticket and lose it, WE WILL NOT BE ABLE TO REPLACE IT! You will have to buy another ticket.  On the other hand if you lose your ID card you can replace it by paying a materials fee of $10. It is a good idea to get a photo ID and they make great mementos.

IF YOU BUY YOUR TICKET AT THE GATE
You will be given a paper ticket, along with the pin and complimentary tickets that Friends of the Faire receive, which you will then take to the exit gate for admittance.  Everything after that is the same as above.

Email for the photos and photo size is on the home page for Scarborough, www.scarboroughrenfest.com

Just passing this along - everyone be sure and check your spam/junk folders, too.

Are we supposed to get any kind of response when we send our photos in?  I just want to be sure that it got there successfully and was in the proper format, etc, so I don't show up Saturday morning expecting to pick up a pass that isn't there yet.

Thanks!

I think if everything goes well, you get a "got it".

Macintyre

just an FYI, not everyone got an e-mail reguarding sending in the picture in advance.  I sat in line on sunday and wasn't aware of said e-mail till i was already standing in line, and I was not the only one.  I also didn't know about the sneak preview weekend if not for what i read in here.

Sonata

I just re-sent my photo, with a note that said if I was supposed to receive a confirmation of receipt the first time I didn't, so here's the photo again just in case.

Just got an email from Scarby.  Here's the body of it:

In just two weeks it will be opening day of our 29th Season and we will once again "Throw wide the gates and let Scarborough Faire begin". We look forward to seeing all of you here.

****** FRIENDS OF THE FAIRE AND SEASON PASS HOLDERS PLEASE NOTE *******
The last day to have your photo ID picture scheduled and made in the office or to E-MAIL your picture is Wednesday, March 25.  After that you will have to have your picture made at the gate.  We highly recommend emailing your picture to pictures@SRFestival.com so that we can have your photo ID pass ready when you first arrive this season.

OPENING DAY – We will have two lines for those who do not already have their photo ID's.  Line #1 will be for those who have sent in their pictures.  (It will be the faster moving line.) Line #2 will be for those who still need their pictures taken. (It will be the slower moving line.) We will open the lines at 9 am on opening day at the Souvenir Gypsy Wagon outside the front gate.  BE SURE AND BRING YOUR ONLINE PRINTED TICKET!

************* FRIENDS OF THE FAIRE ONLY **************************
Friends of the Faire will be able to have their picture ID's made at the Friend of the Faire Preview event on Sunday, March 29 as well.

Speaking of which, the last day to RSVP for the Friend of the Faire Preview event is Wednesday, March 25. Remember this event is for Friends of the Faire only.

From Orivs at the SRF Office:

Leah,

We are having trouble getting photos on our SRFestival address.   Could you please let everyone know that they should send them to SRFPics@gmail.com.  We have extended the deadline from noon to 4pm.  We have been having email issues.  If they haven't gotten a "Got it" reply, they should resend.  Thanks.

JUST PASSING THIS ALONG - if anyone hasn't done so.

Send your photo!
I couldn't manage to get mine taken all weekend. (yes, there was much line standing and broken computer equipment, I really did try)

Sonata

I apologize for grumping at you, Capt Marga. I know you passed the info along as soon as you could, and you didn't deserve my snarking about it. I'm sorry :(

As it turns out, they had my pass printed after all! I never did get a confirmation of receipt on the photo I sent in... lol

[begin rant]
My experience with the passes was not pleasant at all
I had gotten my confirmation email, planned on just stopping in to pick up the pass and moving on with our day.
Nope... wasn't that easy.
The ones outside had no record of my pass or email or anything else. They also had absolutely no information to tell us on what happened. Even that would have been helpful, not just saying over and over that they dont know what happened. They needed someone in that booth with real info.
When I turned around and saw the line to go in through paper pass was out into the parking line I made my own decision to go in the picture side (where there was no line). Whoever that was did the right thing by letting us in... there would have been a hella scene out there had I been told to wait in another line.
When we went to go in, we found there was a huge line to get our picture taken. After standing in that line for 20 minutes or so a lady came by with a clipboard and we made an appointment at 3.
Coming back at three, there was still a line (shorter one at least) and so we waited. The Lovely Lady Trinn gave the snotty girl (someone needs to train her on customer relations) her information and had her picture taken, again there was no record of her in the database.
I went to take mine and somehow in those seconds between Trinn getting hers done and me stepping up to take mine my information appeared in the database and she only had to print out what I sent.
Seriously... both pictures were in the same email... how did one make it to the database and not the other?
This was all after having a seriously bad start to my day... I almost packed it in and went home but stayed because I had told people I would be at specific things (ok, and I wanted to show off the new coat).
Day 2... with the passes in hand went much smoother but something has to be done to fix that system. And to teach some customer service relations to camera girl.
[end rant]

After all that, my friends began cheering me back up with lots of beer... that made a much more fun time.

*and sipping the rum between beers helped too*

Master Benjamin

After spending wed morning emailing photos (4 of them) to the office so we could pick up the passes at the gate, getting no reply as to wether they got the info, I called the office and they gave me two more email addresses to send them to on Thurs than called me on Fri to resend to yet other addresses. After messing with the pics for three days, different instructions and wasted time, got to the faire and only one of four was done with no record of the other three. Just glad that opening day the line was fairly short so everyone could get their passes fairly quickly. Thank god i have a patient family and everyone had fun this past weekend.

I have no comments on the system, but a question:

I emailed my pic as per instructions, but I was one of the people whose pics the computer ate. My info WAS in the computer when they scanned my pass, though. I attempted to get my photo taken on Sat, but failed miserably at every turn.

If I re-send my photo to the address that was in the e-mail and on the website before I attend Scarby again, might my pass be printed and waiting for me when I return? Does anyone know?

Thanks! If no one knows on here, I may drop an email to the Scarby office. :)

Sorry, I don't work in the office, I'm just a lackey at times (promos, Royal Guard). I do know they had camera problems on Sunday.  As for the database, the only info I can say is from what I observed working the computer at NTIF.  The ticket-buying and ticket-printing databases are separate entities.  They had to be updated and cross referenced to each other, but needed online access to do so.   Anytime you have two databases working, well, stuff gets mixed up (I know this from my own work).

I do suggest talking directly to the office.  I'm sure they are going to get a lot of calls today and tomorrow, so please do try and be patient with them.

Teach, I would pass along your concerns about the customer-service issue to the management as well.  She may not have realized she was rude, and might need a reminder.
