This will be a living thread with changes posted to this intro post regularly. Please check back here (page 1) for changes.

Okay folks ... need some assistance here.

The New Year is almost upon us and we need to start getting geared up for our invasion in 2009. I expect that many will be joining us and I want to assist our visitors the best way we can. Below are some of the things I believe we can look at. I figure the best way to go is form committees to address the different particulars of Rendevous.
Please feel free to sign up for the committee(s) that you feel you can support. I don't want folks to feel they have to assume ALL the responsibilities of the committee ... remember, this is for fun, not meant to be work. Any and all suggestions are welcome. Thank you in advance for all your support.
I feel, and have always felt that the MDRF rennies are the most welcoming in the country and I have little doubt this will continue through 2009.

Tailgate Committee:
Lady Guinness (lead)
Dallan (2nd in command)
Ladi Di (supervisor of 2nd in command)


Hotel/Motel/Camping (Lodging) Committee:
Master James (asst)
Lady Glorianna (asst)


Area Tourism committee: (I figure some folks may want to see the area as well) - Annapolis/Baltimore/DC
Amras (lead)

Travel Committee: (develop info about airports in the area BWI/Regan/Dulles - and travel resources to and from)
- we may want to look at travel routes from Baltimore/Washington/Annapolis)
Amras(lead)
Master James (asst)

Social Committee: (Day and Evening - especially Friday night)
Scotsman

Game committee: (Things to do before/during/after faire) remember to keep this simple for folks want to explore faire.
I was thinking about something like Best favor of faire or Best knees competition for the kilted lads or stuff like that ... simple easy and fun - key is have fun with it.



MDRF liaison committee: Work with MDRF to ensure that we don't break any rules like fire eating in the parking lot or having a kilt competition detracting from faire - basically bump everything we do to ensure no one comes from afar to get kicked out of faire the first day.

Sign me up for the Travel Committee, specifically Dulles since its 5 miles from the house and the Lodging Committee, specifically camping since that is what we do every Labor Day weekend.  What kind of information are we looking for so I can start thinking about it.  Don't know that I'll be able to fully dedicate time to it unitl after VARF but I can certainly work on bits and pieces to start pulling it together and then finish off everything after VARF ends.

I think as long as you have reliable people (and you do so far!) working on everything, it should all go smoothly.  Just don't forget the photo opps (people really enjoying the photos later)  and a schedule of events that everyone can have with a map so that they can all find their way to everything in a timely way and make sure that you have time to get to everything as well. 

I have the R/F.com banner, btw and will bring it or send it early to you if you want it earlier.  You will need to arrange for a pole if you want one for it, since it won't fit on de plane!

You can put me down for lead on the Tourism Committee...I shall try to start getting info up this weekend...can't start to early for folks making plans.

To start your vacation, a tour of the Early Heights, Maryland, Fire Department is in order...followed afterwards by cocktails at Scotsman's Pub, close by... ;)

Actually, I shall get as much info down in the next month or so as I can, on sights to see as well as airport and travel info.
My area of expertise/experience on the the local airports will center on BWI (Baltimore/Washington International), as I suspect that Master James knows considerably more about Dulles than do I. I will also get info up about Reagan Intl, but that would not be my first choice in  airports for arrivals/departures.

In terms of lodging: Things being what they are around here and since it will be a holiday weekend, it might not be a bad idea to start a poll to see how many rooms will be needed. Once we have a ballpark figure, I guess we could approach a hotel and see what they say. It might be too soon but then again with the labor day holiday and all the activities that happen around here it might not.

In terms of tix the same thing will have to be done (though not as early as the hotel poll) as there is already a price for groups of 100+ (12.50 for adults).

Besides the Friday gather and the tailgates, maybe a Sunday dinner might be in order?

Activities to happen within the shire should be as least disruptive as possible of shows, ie having a wench contest at the White Heart even if it is next to manny is not a good idea as there are acts on stage pretty much around the clock.

Yeah, I am with you - if we have events it would probably be best to take them over to the Dragon, or even down by the boardwalk .. we'll have to see what is best.

As for lodging - I believe one of the better places to check would be the Courtyard on 450 - Lady Guinness and I believe it is the closest to faire - nice and clean. The problem is going to be everyone's budget not to mention some folks have memberships in a particular chain. It is going to be difficult to nail down one hotel that is pleasing to the masses. It is for this reason that we should probably look at listing 3 or 4 close hotels with different price ranges and let folks pick what they like and seek those accomodations individually. Just my two cents, unless someone has a connection at a local hotel to get a group rate.

As for Sunday dinner - I have two concerns. First, traffic leaving the faire can be a real bear! Second, by days end Lady Guinness and I are really wiped out not to mention that we have to be up and going early to get Monday tailgate squared away. Usually we are hesitant about evening gatherings on a faire day. This is why we prefer to have a closing tailgate with consumables and such. This is why I think a nice Friday night get together is a great idea. That said, if the consensus is to go out we will try to stick with the crowd. Last thing we want to be is a couple kill-joys!

I agree with you Scotsman on the after faire activities... Friday would be great for a Meet & Greet and let the rest of the weekend fall as it may.  This worked great at TNRF last year!

For reference as to our qualifications you can check out lot C at M&T Stadium any Ravens home game.  ;D  BTW – is a gas grill allowed in the lot at MDRF? I have a nice size grill that attaches to the rear tailgate if we want to serve something cooked or warmed plus a pretty sizable inverter if we need electricity.

how many do you think will be attending? I am a graphic designer and overall crafty type person depending on the numbers i could make Rendevous 2009 favors if that is something you would be interested in....plus i can help bring food for the tailgate. or make banners, prizes, whatever would be needed for the games.

I think the favors are a great idea - at last years Rendevous Festmum did a great job with these - she had blank wooden pins that people filled in with their board names so that everyone knew each other. They were all shapes and sizes (the pins too ;D) and it was very nice to not have to remember 150 different faces and names. I think that would be an idea to look at or expand upon. I think we should expect around 150 folks - or at least plan for that.

No worries lass ... we are all in this together and together we will exchange ideas ... you made the mistake of speaking first  ;D hence leadership, hence I bow to your awesomeness! :-*

Seriously, Rendevous in nothing more than a big family reunion. All WE need do is be creative - it will all come together. No worries. Over the next several months we can bounce idea around.

Past things consisted of Ette/Teer auctions and others that I was never sober for!
We can do something along the lines of HS ... best dressed, most likely to succeed ... but with a ren spin - most likely to pass out and such

Kilt contest ... okay, so I am Scottish! Wench-stick ... maybe the best wench lipmark - reddest, fullest ... we'll put our heads together.

What you can do is to start a new thread here in the MDRF and we can begin to throw things around. You will get hundreds of folks from outside MDRF that pitch in with ideas ... bottom line is to have fun with it.

Thanks but I have these covered. I am a major crafter and these are my winter month crafts. I was going to do something like you suggested where people can write their names to make remembering easier....basically since I drink one or two (or five) I could use the name help.

I think the Social comm. will handle the events and ideas for interaction at and away from faire. Come up with some fun things to do at faire and also help with the planning of the Friday night Social gathering.

These are questions that need to be worked out ... careful, you may find yourself in charge of something  ;D

In years past the Friday night gathering was designed for those folks that arrived into town early and wanted to "kick off" the festivities! Last year it also served as the induction ceremonies for the Ette & Teer crew. I imagine it will be the same for this year. As we begin to coordinate Friday night I would like to bring the Ettes into the fold so that we can keep it one big happy family.

Friday night should be a facility/bar/pub that can hold a large amount of folks ... say 50 - 100 ... and consideration should be given to the fact that M'Crack's will be there in force ... can you say NC-17. It will probably kick off around 1900 (7 PM). I would like to keep it within 20 miles of faire since most of our out of towners will be lodging near faire itself.

If anyone has an good place they can recommend, just shout.

Yes that is the correct information for the KOA.  Might I say that I stay there every Labor Day weekend and it is a great place.  For those flying in, they have like 10 or so cabins that sleeps 4 and are like small hotel rooms with A/C but you have to go to the shower house for around $60/night.  They also have I think 4 lodges which will sleep 6 and have A/C, full kitchen and bath but they are like $200/night.  Tent sites are $40/night and RV sites are around $50/night.

Nope that is M'Crack weekend so I'll be in my M'Crack garb Saturday at least.  And besides, that weekend is way to hot for makeup anyway.  Ususally is in the high 80s to mid 90s and sometimes higher.  Day of Wrong is the day I'll be a FOP for sure.  Can't wait!

Yeah, this is something we need to nail down ... I don't think DuClaws would have enough room for 50 - 10 folks. Especially on a Friday night. I was hoping there was a pub in the area with a meeting room that we could rent ... anyone know of such a place in Annapolis area?

I was thinking of going to Jaspers on RT.3, I think they have a room. Also I was thinkng about going to the Irish Channel and see what they have. What about Kaufmanns in Gambrills, I can go there too. Any others? I don't mind doing this at all.

Well last year when I came up for MDRF on Labor Day Weekend, there was a Friday night gathering at Brian Boru pub. Can't remember exactly where it was at, but it might be able to hold all of us... maybe...

Boru is a mile from my house but not extra room for a party our size. Would be nice, I could walk home.

NO to Kaufmans ... the food sucks and is WAY over priced. I think people will want to spend their $$ at faire more than a poor food joint. (if you couldn't tell, not a big Kauf fan).

I like the Irish Channel in Crofton, if they have a room that would be awesome ... nice menu and close to everything,  like waugh chapel.

Jasper is always so damn packed, especially on Friday nights. That said, they are used to handling big crowds ... might be worth a look. I just don't know if they would tolerate a ruckus crowd - they are more of a family setting.

Does Rams Head have a room? In Annapolis there are several pubs we could look at Fado's being a nice one ... Galway Bay ... Castlebay ...

Lodging listed is still relevant. Coutyards have been recommended. Days Inn I have stayed at and the other are what is recomended by MDRF website.

Okay, we are having a hell of a time finding a suitable Friday night gathering spot. Does anyone have any good ideas ... here is what we are looking for:

Bar/Restaurant
preferably separate party room with staff
handle large crowd 50 - 70 people
able to order from menu - not buy party trays
comfortable
Able to handle rennies! We can get LOUD!
Good bar selection

Yeah, I wanted to keep it closer to faire ... I figure most of the Out-of-towners would be lodging up this way.
The ideal place would be that pub in Fredericksburg you set up last year, Fox and Hound type place - separate room with staff, well worth the $100 fee for use!

I'm afraid I'm not going to be much help. Most of the places I know of are in the Carroll County area and too far. Maybe something in the Glen Burnie area. I think Annapolis is going to be tough.

Yeah it has been tough thus far ... the problem with Annapolis is the feaking parking. Especially on a Friday night of a long weekend. Have to avoid routes close to the bridge because there will be a backup from hell there heading to the Eastern Shore.

Looks like everything is falling into place! Scotsman, you're doing a great job so far as host!

For those of us who will be at faire but cannot attend the friday night gathering, is it safe to assume that the White Hart & the Dragon is where most folks will be during the day?  Is there a plan to gather all together at any point in the day inside the gates?  We need one huge group picture!  Can that be arranged somehow?

And, off topic, who else is planning to stay at KOA?

Great question and yes, we are working that ... should be posted soon. Basically we are looking at an empty stage to meet at for a photo. Should be easy. What we are waiting for is there are cast members who we need to see what their schedules are so we know the best time to get the group photo. It is important for me that everyone be included in the photo.

I know that the IWG wenches will be holding their meet & greet at the Dragon at 11am both days, and the M'Cracks have their thing at 3 at the White Hart.  Maybe right after pub sing, but before folks hit the gate, we could pick a day and all meet over by the joust field or something.  Ooh, maybe over there along the side fence?  That would seem to be a large enough area, patrons would be scarce over there (so we wouldn't be bothering anybody and they wouldn't be in the way!), and we'd not require the use of a stage. 

Just a thought.

Yeah, we tried that last year during our regular Labor Day invasion and discovered that the mere size of that group (which will pale to Rendevous) was really difficult the get everyone in the picture. The stage seemed like a great fit because the photograpers can be on the stage and fit everyone in with depth. The trick, as you have highlighted, is the time ... we will iron it out, no worries.

As we get closer and closer to Rendezvous weekend, is there a chance there might be a single consolidated post of "here are the events and times and places"?

I keep thinking to myself, that I need to print out this page, and that page and oh yes, that other page...and was just thinking a "here's what's happening when" thread as R-Day approaches would be quite handy to print and take with us right before we leave. I'm afraid I will have forgotten something and not be able to connect to the internet in the hotel, that we'll forget the cell phone chargers or that the GPS will choose that day to give up her ghost!

Just random thoughts from a Rendezvous newbie. For all I know this is standard practice.

This is a great idea and WILCO (= Will Comply). I figure by the 2 weeks out mark (fast approaching) we should have all the kinks out, so yes, I will ensure one consolidated page to give the broad who, what, when, where, and of course why.

once the entertainment sched. is posted at the mdrf main site (rennfest.com), you should have a better grasp on stage availability. . .  but make sure you get an OK from mgmt before assembling such a crowd (which is the main reason why FriendsOfMDRF.org has their group shots taken outside the main gate)

Goodness have I been gone from this website for this long?  Why does real life always get in the way of my fun?  I was planning my weekends for September and October since, sadly, I work every other weekend.  Then it occurred to me that I was missing a group of people who adore the fest too.  My hard drive crashed a while back and it took me a while to finally find this webpage.

As I'm thumbing through the forums it turns out I have rendezvous off.  Finally some luck.

oki doke.  i got a few questions here since i am a bit slow.

Question 1-will there be tailgates on opening day? (8/29) Because we are going on opening day!  And since there is a large group of my friends going, I want to get the time down, to know if there is a tailgate (since I always miss them!)

Question 2-for Rendezvous/Labor Day weekend:  will there be a tailgate on that saturday/sunday/monday? or is it one specific day?  i would love to meet everyone, its a shame I have been attending mdrf for 5 years and have always missed these things. And I think there will be a group of us will be going, so trying to organize everything.

Question 3-when and where will the big picture of everyone be taken? I am determined to be included this year! lol

What do you mean by slope? Do you mean up on the benches that lead down to the stage? Do you mean on the /other/ side of the hill in front of the chapel? Over closer to the trees? Maybe someone needs to hold a sign!

Off to the side of the chapel ... we feel the grade will allow for a better photo. Plus if there is extreme sun or rain, the canopy there will allow some comfort.

Aye, you do have a point, there.  I do stand corrected. 

I recall a Labor Day weekend some years ago when it absolutely poured from Friday night to Monday evening.  The vendors were all digging ditches to keep the flood waters from entering their shops, Lake White Hart developed to near flood level (you know that spot down by the wall, right?!), the bands stood on the tables while the Aerial Angels did their thing under the canopy, and only the most devoted were in attendance.

We had a blast!  So yes, you are right.  Sometimes the "R" word, isn't such a bad thing. You know that old saying, "come Hell or high water...!"

I remember making the drive out there last year, during the monsoon.  Talk about a blast!  Even if I was drenched to the bone before even making it to the cloak shop.   :D

The one weather event that i specifically stayed away from was the hurricane.  Hannah, was it?  I know folks went that day, but that was just too much for me.  That was the only weekend i missed that year.

I don't like to see the rain though... it really hurts the vendors.  We try to make rain days, the days we do our shopping with them.

You are indeed a brave soul!  I agree with you on the vendor thing though.  The shopping is the best when there aren't alot of people in the booths.  At the same time, for the benefit of thos shop owners, we can all certainly hope that every shop is filled to capacity every day!

Expect hot and muggy and yes, possible rain. Expect it to be even hotter out near the joust field (no trees).

But mostly expect it to be hot. Temperatures lately (http://www.weather.com/weather/monthly/USMD0113?from=36hr_topnav_undeclared) have been in the upper 80's, lower 90's with enough humidity make the heat index icky, especially since you'll be outside all day.

Faire does not ... well let me say, they strongly discourage outside performers ... PERIOD. If they catch you doing it ... inside/outside the gate, you stand a very good chance of not being allowed to enjoy MDRF at all. Especially anything to do with fire. Sorry, but rules are rules.

I am not saying personally that you can't do it ... but the risk (in my opinion) is MUCH greater than the reward.

1:45 (after photo) lunch served in parking lot for those that would like to join the M'Crack's for lunch

As usual, FriendsOfMDRF.org welcome all of our renfaire friends to Revel Grove.  Amras, Scotsman, Myself and tons of other folks make up our ranks and we're more than happy to show you the shire from gate to garden.  Look for the Tudor Rose pin on all of our members that have the words "Non mihi, Non Tibi, Sed Nobis" (Not For Me, Not For You, But For Us) which we adopted back in 2004 as our creed.  As one of the main communication venues for the festival, we really get a thrill out of showing off MDRF . . . not just an inn or a pub, but all that makes the festival so great.

I'll have the last remaining few dozen of our metal pins with me this coming weekend and I'm more than happy to part with them to folks who have found a new love for The Maryland Renaissance Festival.  At $6 each, they're a steal and I might just trade a cider for one!! (I'm easy).

Look for us all around the grounds and especially at The White Hart Tavern where our banner flies proudly.

OK, so I promised myself I'd pack tonight... and I set about making the packing list and although it looks great... there was no actual physical packing done at all.
That being said, my seamstress delivered me ONE of the two new doublets I had made for me (I'm actually having 7 made but the other 5 can wait, I need 2 for this weekend... and she promised they'd be done on time...)
and the other one, well... ISN'T DONE YET!
I'm in full panic mode, here.  She's also making 2 for Falcone... so he'll have two.
I'm stressing.  Tomorrow eve, after work, I'll drink 3 beers from a 6 pack and pack for 3 days and 6 hours.

Well, the actual PACKING won't take that long... I meant I was... oh, you all know what I mean...

37 hours from now I'll be touching down at BWI!!!

Well...it is about 5:30AM as I begin to write this....

I too was to be packing, as Master Ravyne and I head out today.  An overnight stop in Williamsport, PA and we are there tomorrow!!!!!! 

But I digress....the packing......it was almost complete....and then I made the fatal mistake of sitting down on my bed to go over my list....and I was out like a like.....list in hand, lights still on, music playing.....garb everywhere.

When I woke (30 minutes ago), the excitement filled me;  today we are FINALLY on our way to Maryland!!!!!

Of course the packing still remains....but I am on it...really, honestly.....logging off now  ;D

Safe travels all, we will see you tomorrow night and if not tomorrow night then Saturday morning for sure!!!!

Look for us all around the grounds and especially at The White Hart Tavern where our banner flies proudly.

As members of Friends of Faire http://mdfof.proboards55.com/ (http://mdfof.proboards55.com/)and the Lord High Drunkard, Ulfric extended an invitation to all coming to Rendezvous to attend the FoF Meet & Greet at 11AM (Dragon Inn) and FoF Shooters at 12-2PM (O'Schucks)... I did place them on the schedule  :).

I better bring a Tupperware pitcher for all the ciders. . . . truth be known. . .  these be the last of the second batch. . . (we went through the first before the middle of faire two years ago). . . not sure if I'll order more. . . at least not soon anyway.

Female smootches and weed puller grabs will also up the ante. . .as I am a Himbo (male bimbo). . . so bring a cider and a hot lady and you're in. (so to speak).

I can be bought. . .cheap.

My husband and I had grand plans of arriving sometime within the 9 o'clock hour and say hi...but you know the old story of best laid plans....

My grandmother has apparently had a stroke tonight - I was called while at work with this information.  My mother is one of five children, so the families have swarmed to her at the hospital.  Mom was going to watch the kids for us, but is now on her way to New Jersey to lend her support (of which I wouldn't have it any other way).  I'm not going up just yet and add to the already frazzled nerves and insanity, but it does put a dark cloud of what should have been a fun weekend, plus the fact that we'll have the kids with us as well (which means a shorter visit to the fest than planned and a lot less drinking. :( )

So hopefully we'll bump into you all at the White Hart whenever we do make it down.

'Twas a last minute decision but I made it there for Sunday and had an excellent time.  I enjoyed meeting all those that I met in the process but didn't make a single meet and greet anywhere.  Ended up in the "Dragons Lair?" I think for a few final ales when the rain tested us.  Suspect that will be my favorite pub when I make it back again.  A great Sunday!

I want to say that I am SO glad that I FINALLY made it for Labor Day weekend-which happened to be Rendezvous weekend also!  I always say-each year, I will make it for labor day, for the tailgates, but NEVER do!  It was so great to meet everyone and make new friends!  I must say, out of the 5 years I have been attending the fair-this weekend has been the most fun ;)

It sounds like everyone had a wonderful time from Dinner at the Meet-n-Greet Friday night 'til the last photo was taken on Monday evening. I can't wait to see you all again (I know lots of folks are returning for closing weekend) and hopefully I'll remember some names this time! (it's tough to remember 3 names for everyone: 1-Renn 2-McCrack 3-Real).

I want to say what a PLEASURE it was in helping host Rendezvous 2009 at MDRF!!!  It was so wonderful to see old and new faces!!  I hope everyone enjoyed our faire and maybe even made a few new friends :).  Thanks to all who made this such a memorable experience!

As special thanks to Scotsman and Lady Guinness for being the point for getting MDRF nominated and for getting the ball rolling... it could not have been done without you!!!!

I would like to express my thanks to all of you, who made Rendezvous '09 such a rousing success. Scotsman, Lady Guinness, Lady Joyce Ann (special thanks for everything), Lupa, Ulfrich, Dinkywench and everyone else who contributed all of their time and efforts. It was a spectacular weekend, and produced many wonderful memories, and I will be forever grateful. And to all of my friends, old and new, it was wonderful to see you, and I am looking forward to the next time.

THE tavern? There are at least four  taverns on site (and possibly more, depending on your definition).  I hope that was the White Hart Tavern (though the other taverns have their appeal), and that you got to see the musical acts such as the Pirates Royale, the O'Danny Girls, the Hooligans and The Interpreters perform- otherwise, you'll just have to come back again. ;)

I want to thank all of you for what is easily my best RenWeekend ever.  From the Friday night meet and greet, to the tailgates both mornings, from the gatherings in the evenings to the assistance in finding Brent Monday morning, it was such an event in my life.

This was the first time I have been so involved in the Faire for a weekend.  Usually, it is more like show up at 9:30, enter upon the gates opening, enjoy the Faire throughout the day, participate a little at the pubs and a few greetings to people as you pass each other, hopefully be able to stay for pub sing.  You have turned my Faire outlook on it's ear.

After having actually met so many of you and been able to connect with you, I will never think of Revel Grove or it's inhabitants the same again.  (forced to pause, not embarrassed to admit to wiping an actual tear from his cheek).  You took us into your family like we belonged.  I don't think it is quite possible for me to communicate effectively how great a people you are.  As I have been trying just now, I have had to pause and walk away from my keyboard twice to compose myself. 

There were so many special moments that made up this weekend, and so many incredibly special people that made it happen.  Many little corners of Revel Grove now have new and powerful meaning to me.  The problem now is making the rest of my RenLife live up to the new standard you have now set.

Again, I thank you.We won't be able to come back until next Labor Day Weekend, but that gives me 361 days to look forward to it, and look forward to seeing all of you.

Lucky you. I handed the camera to Lady Di on day two hoping we might capture a photo of me since none were taken day one. She passed it to Master Drew (the 7 year old). Plenty of pictures, mostly of the ground, animals and food, only one really bad one of me. Oh well, such is the life of the family photographer. Fortunately you and others were kinder to me than my family.

I'd try to list you all but seriously, there are so many of you that I'd surely forget someone and feelings would be hurt so I'll not even try.  I wish I had more voice all weekend... there were so many things I had to NOT say... or do...
you know, that might have accounted for me going the entire weekend without getting into too too too much trouble...
naaaaah!!!

I'll hopefully have my voice back for TRF in a month and Charlotte a month after that.

In the meantime, I'm still reveling in the wondrous memories that are now Rendezvous to me.

Thanks to you good sir my daughter was quite smitten with Falcone the rest of the day. :)  Wish the hubby and I could have stayed and mingled, or even returned for a second day.
